How to track your School Fee Payment on a simple Excel sheet for all the classes in your school Without missing a school fee payment
In this video, we introduce how to use the Income & Expenditure Excel template for schools. You’ll learn:
How the template works
Yellow cells auto-update (don’t edit them).
Green cells mean calculations are correct, red means errors to check.
White cells are for manual input (e.g., income, expenses, notes).
Setting up your income & budget
Rename the file for your school and term.
Enter all expected income sources (fees, uniforms, textbooks, transport, after-school care, etc.).
The sheet automatically totals your income.
Understanding expense codes
Each type of expense is grouped under a code (e.g., 10 = Fuel for Generator, 150 = Salary).
Updating the expense code list automatically updates all sheets, ensuring consistency.
Budgeting your expenses
Estimate planned spending for each code (fuel, transport, repairs, salaries, etc.).
The sheet compares planned income vs. planned expenses to show your projected balance.
You can also add cash at hand, bank balances, or outstanding loans.
